What you are actually comparing

Most comparisons go wrong because they put a monthly price next to a one-off price and call the smaller number cheaper. The two models differ in what happens after year one, so compare the three-year cost and what you still own at the end of it.

• Subscription platforms bundle a maintained policy library with audits, training and other modules. You keep access while you keep paying. QCS sits here, as do several smaller UK platforms.
• One-off policy libraries sell the documents themselves. You pay once, download Word and PDF copies, and those copies remain yours whether or not you buy anything else later. CuraFlow Policies sits here.
• Free or near-free template packs are the cheapest option and the riskiest. The problem is rarely the price, it is whether anyone maintains them against the current regulations.

What QCS publishes, and what it does not

QCS advertises one headline price publicly: QCS Start, from £599 plus VAT, aimed at new care businesses. Pricing for the wider platform, the Compliance Centre and Audit Centre, is not published on the site and is quoted on request after a demonstration or trial. That matters for a comparison, because it means the only way to know what QCS will cost your service is to ask them.

What CuraFlow costs

CuraFlow prices are published in full, so you can work out your own total before speaking to anyone.

• Policy library, one-off, from £595 for a full service-type library. Supported Accommodation is £595; Domiciliary Care, Supported Living and Cosmetic Clinic libraries are £995. You download Word and PDF copies with your company details already substituted in, and those copies are yours to keep permanently.
• Optional monthly plans add staff access and tracking on top of the library: £19 a month for up to 5 staff, £49 for up to 25, £69 for up to 50, £99 for up to 100. These include the compliance dashboard, acknowledgement tracking, policy updates every six months and the policy look-up tool.
• CuraFlow Compliance, for audits, action plans and mock inspections, is £39 a month for the first user or £29 a month paid annually, then £9 a month for each additional user, with a 14-day trial.

The three-year picture

A domiciliary care provider buying the CuraFlow library outright pays £995 once. Add the 25-staff plan and it is £995 plus £49 a month, so roughly £2,759 across three years, and the downloaded policies survive cancellation. A subscription-only platform at, say, £75 a month comes to £2,700 over the same period and leaves you with nothing if you stop paying. The monthly figures are close. What differs is what you hold at the end.

That is the real question to put to any vendor, QCS included: if I stop paying in year three, what do I still have?

Other options providers compare

Providers shortlisting against QCS commonly also look at Bettal Cared4, CareBound, CareDaily, Care Quality Support, e-Care Hub and HeroDocs. All publish their own pricing, and the mix of subscription and one-off models varies between them. We have not audited their document sets, so treat this as a list of names to check rather than a ranking.

Questions that separate the options

1. Is the library written for my specific service type and regulator, or is it a general care pack with my service name dropped in?
2. Are the policies mapped to the current CQC quality statements, or the Ofsted Quality Standards and SCCIF for children's services?
3. Who updates them when the regulations change, how often, and is that included?
4. Can I download editable Word files, and do I keep them if I leave?
5. Can I evidence that staff have read each policy, which is what an inspector asks for?
6. What is the total cost over three years, including VAT and any per-staff charges?

When QCS is the better choice

If you want one platform covering policies, audits, e-learning and HR guidance across several homes, and you would rather pay monthly than hold documents yourself, a full platform is a reasonable buy and QCS is the established one. A one-off library is the better fit when you want the documents, you want them tailored to a single service type, and you do not want a renewal date in the diary.
