What CQC compliance software actually does

The Care Quality Commission does not certify or approve software, so there is no such thing as an officially CQC-approved product. What providers mean by the phrase is a system that makes it straightforward to evidence the fundamental standards and the quality statements at inspection. In practice that comes down to four jobs:

• Maintaining a complete, regulator-aligned policy set so nothing important is missing
• Tracking that each member of staff has read and acknowledged the policies that apply to them
• Running structured audits and action plans, so gaps are found and closed before an inspector finds them
• Producing clean exports (Word, PDF, Excel) that stand up as evidence when asked

How it differs from care-management systems

This is the distinction that saves money. Care-management platforms handle daily notes, care planning, rostering and electronic medication. They are strong at delivery. They do not, on their own, keep your policy library current, prove staff have understood a changed policy, or map your evidence to the quality statements. Compliance software fills that second gap. 1. Are the policies written for my regulated activity, or generic templates I have to adapt?
2. How and how often are policies reviewed when guidance changes?
3. Can I prove, in one export, that every carer has acknowledged a specific policy?
4. Does the system carry my company details through every download?
5. What does the audit trail look like if CQC asks how a decision was reached?
